Tips for Raising Funds, Using Grant Monies and Keeping Track of Things...from a club I'm part of

WHAT ARE SOME FINANCIAL BEST PRACTICES WITH

GRANT FUNDS?

 

·     Follow your spending plan to distribute and use grant funds for the stated purpose in a timely manner.

·     Make project-related expenditures by check or other traceable method.

·     If payments are made electronically by one person, maintain a paper trail showing that the payment was approved by both signatories.

·     Maintain detailed receipts and record each transaction in a ledger. The ledger should list each transaction, noting the date, amount, and reason for the transaction.

·     Make sure to share the information so grants run smoothly and funds are secure!

 

Thank you for making our grant oversight top notch! You will be helping to ensure our high rating in services like Charity Navigator where the stewardship of funds is a high priority. (Doesn't hurt to motivate folks for success and help everyone understand the roles and responsibilities of keeping track of the plans, projects, steps and costs, receipts and thank-you's along the way, and record-keeping. I am learning as I grow, and tech should make things much easier! 

For college or other fundraising there are tutorials and softward to walk one through. One needs to sign an agreement to keep info private and not use for personal or other purposes. Then there are support folks to help one get used to the process and talking points, ways to keep track of info about someone to keep conversations going and be aware of what actions were taken (messages left to plan a time to talk or whether a donation was given and for which amount.) Often people are tracked to understand a reasonable amount to request if that is part of a campaign.

There may be motivational goals and bonus amounts given by some or matches made if a certain number of donors (or percentage of donors) gives an amount of any amount over 1 or 5 dollars etc. That is tracked as well and meets other criteria for other funds as well possibly. Okay hope that's helpful and encouraging especially in these times!

If one joins Rotary International locally or online in one's state, there are more credits given for learning about the club. There is a lot of information about Toastmasters on youtube and likely Rotary as well, but nice to get credit for one's club too! Best to all as we learn and grow in peaceful, prosperous ways!
